We use a product called Formsprint from Integrated Customer Solutions. It provides overlays and distribution and sending reports via email as PDF files. I think it also supports faxing, but I'm not sure about that. I think that it is the most flexible and effective solution that I have ever seen. Contact me directly if you want to hear more. PS: I have no vested interest in this product, I just think that it is amazing. For archiving we use another 3rd party software called Metafile. It stores all of our month end reports, invoices and acknowledgements, original purchase order from the distributor, and other internal documents. Hope this helps.
