C & S - Troubleshooting issues when converting a Visio file to PDF format

Hi - thank you for all your answers to the question I sent to our list this
morning  -> -> ->

Hi - For some silly reason I am having a hard time converting a Visio file
to an Adobe PDF. About half of the screens come out fine. With the other
half the pages are a mess - the top part of the screen is cut off, text
lands all over the place. 

Has anyone on the list encountered this problem and figured out how to fix
it?

Please send me your answers and I will collect them & redistribute to the
group.

I had the same problems with Visio. For me the solution was ( i used print
to file when i was creating pdfs) to set up the page size properly, but it
requires a little investigation... I'm using Visio 2007. So in this it's
like this: File - Page Setup - Printer Settings, and also on the second tab,
check that the page size and the layout is the same...

What version of Visio are you using?  I've found grouping and locking
content on pages before I make my PDFs helps a great deal.

I've typically found that a host of problems are solved by selecting
everything on a worksheet (CTRL-a) and then grouping them (CTRL-g) prior to
producing a PDF (or saving to gif, etc.).

I use Visio and print to PDF...

Are all your Visio pages the same size and orientation (i.e. all
8.5x11 and landscape, for example?)  i think Acrobat tries to print them all
the same size, so it might be cutting things off in its attempt to
convert...

This is a common problem with Visio and PDFs. Sometimes Acrobat just chokes
and starts messing with fonts.

Try the following:

1) Quit and restart Visio.
2) Make sure that in your print settings, "do not send fonts to distiller"
is unchecked.
3) Make sure that your page size in Acrobat is adequate. If the "paper" size
is smaller than the page size in Visio, or even exactly the same size,
Acrobat might compress the page and start layering things on top of each
other that shouldn't be layered. Set the "print"
page size to be larger than your Visio page size.

You mentioned that some of your pages are cut off. I haven't encountered
that as an Acrobat-specific issue. You may want to make sure that the pages
that are being cut have a big enough print size (see #3).

Two other ideas:

1. Copy and paste the drawing into Word and do the PDF from there.

2. Submit the visio file to Adobe's online PDF system. It's free for five
times per email address you have, and getting new email addresses is cheap!

I have occasionally had Visio files come out with some corruptions when I
convert to PDF.  It's usually minor things, like a dashed line shows up
solid or a box only has 3 of the 4 lines.  I don't know what the problem
is/was.  If those corruptions were troublesome enough, I would then save off
that particular page as a GIF, which usually looked fine.  Of course, that
won't always be appropriate.

It seems that the dimensions have been set to a non standard printer paper
size. It will also depend on the tool being used.

I'm using PDFCreator to output PDFs from Visio. It hasn't failed me yet:

But first, have you checked out the page and paper size options (File
-> Page Setup) for the pages that come out wrong? One of the things
that stumped me in the beginning was how these settings are per drawing on
Visio, rather than per file.

I have been converting Visio files to PDF since sometime now using PDF995,
PrimoPDF, Acrobat but I never came across such issue with either of the PDF
converters.

I feel that there would be some issues with the page setup settings if you
have changed the default. If it is not confidential, you can send me your
.vsd and I can give it a shot.

When you are printing to PDF go into File > Print Setup.  Here you can
reorient from portrait to landscape.  This might fix your problem.
Or go File > Print Setup > Properties > Advanced.  Here you want to check
Paper/Output Size and make sure that the output size is right.
