Yep,
This is pretty much what Ive heard about these MS Office apps. You might 
suggest to your colleague if he's going to be keeping files unused for so 
long that he save them unencrypted on removable media and stick them in the 
office safe.
If you need to encrypt anything use PGP. There are several versions out 
there, the latest of which have easy to use GUI's. Ive mostly used the early 
DOS version, 2.6.3, which encrypts plain text. I dont think it supports the 
formatting you get in word files - later versions may do this, though.
