It sounds like you have an old version that is suggesting an update. (Update suggestions are ALWAYS paranoid about data loss and push you to make a backup. It is just makes good sense.) What OS and version of Gramps are you using? Saving is automatic. When you click OK, data is cached. When you exit Gramps, it commits the cached data to the database. But making a backup may the 'save' that you're asking about. As for opening media files beyond thumbnails, Gramps depends on the 'helper' applications that your OS associated with each filetype. (i.e., if you have Adobe Acrobat Reader associated with PDF files, opening a PDF media file is like double-clicking the icon from the desktop: it opens Acrobat Reader then uses Reader to open the document.) There are an incredible number of free add-ons that the Gramps community has created to expand the software. But if you're using an old version, you may not even have the features which have made Gramps MUCH friendlier to use. Gramps usually generates documents in a variety of formats and then recommends that you use that format's key program to print. (Such as a word processer.) That's because you will normally want to tweak before a print a extravagant amount of paper. That might be collating a bunch of pages together and adding a footer with page numbers. That's even true for 'books' of reports. Normally you'll want to add a few pages of custom commentary while Gramps greatest the charts & references. Or the tweak might be dragging a box on a graph to a slightly different position.
