If you can, give some thought to adding the Semantic MediaWiki extension 
plus Semantic Forms.  It will let you organize pages through annotations 
in ways whose power will shock, appall, and awe.

If you can just install the plugins, maybe some day in the distant future 
I can help you start using the annotations.  But the key is that you can 
give plugin pages forms that store data in ways that can be queried; so 
once you have a plugin page, you can make a little query/report of that 
data easily and flexibly.
